A file used to share the week is not always a file that can restore the editor. Choose the format based on what you need to do next.
Use CSV for a spreadsheet
CSV exports one row for each shift in the displayed week, including employee, role, times, unpaid break and paid hours. Open it in a spreadsheet to review or format a report. Empty days do not create rows, and CSV cannot restore this editor’s saved workspace.
Use print or PDF for a readable handout
The print layout removes editing controls and keeps the weekly grid. In a supported browser, choose Save as PDF from the print dialog. Check the week and page orientation before sharing.
Use JSON for recovery and moving devices
Download Backup includes all employees and all weeks. Store the file somewhere private. To move devices, copy that file securely and use Restore JSON backup on the destination. Restoring replaces the current workspace after confirmation.
Treat names and availability as workplace information
Use only the details you need, restrict who receives exports, and remove old copies according to your own retention policy. People sharing a browser profile can see the same locally stored schedule.
Back up before making large changes
Download a backup before restoring a different file or deleting employees. Browser data may disappear when browsing data is cleared, in private browsing, or when a session-only preview is closed.
